Improving and implementing people-centred recruitment processes

The challenge

  • Recruiters lost a lot of time on manual steps such as CV screening and writing reports.

    ‍

  • Candidate data had to be entered into several systems because of a lack of integration.

    ‍

  • There was a need for a clear overview of pain points in the candidate and recruiter journey.

The result

  • Concrete insight into structural bottlenecks in the recruitment process.

  • An action plan with broad support, with both immediate and long-term measures.

  • The start of concrete improvement actions within the HR team, including systematic follow-up.

Improving recruitment processes without losing the human touch

AG Insurance noticed that its Talent Acquisition team was spending more and more time on repetitive tasks such as screening CVs and writing interview reports. At the same time, finding the right people remained a challenge.

‍

In a competitive labour market, AG wanted to stand out with a strong candidate experience, and also to stop recruiters from being overloaded by inefficient processes. So the question for Harmony was twofold: how do we create a positive and consistent experience for candidates, and how do we support the team with smarter, more workable processes?

‍

A structured programme in two workshops

During an intake meeting, we focused on the objectives we wanted to reach by the end of the BNS programme, and we identified the key stakeholders to involve in our workshops.

‍

We organised two workshops.

‍

  • Workshop 1: focus on identifying the problem. How can we attract the right candidates and deter the “wrong” ones? With a TRIZ exercise, we also sparked the first innovative and creative solutions.
  • Workshop 2: focus on mapping the experiences of the recruiter and the applicant. Together we looked at the bottlenecks and opportunities.
    ‍

Using design thinking techniques, the team worked on possible solutions. The approach was strategic, and it also brought people together: the workshops made room for reflection, dialogue and collaboration in a safe setting.

‍

From pain points to an improvement programme with broad support

The Business Next Step programme brought valuable insights and a shared understanding of the bottlenecks in recruitment. For example, it became clear that time was lost not only in screening, but mainly in reporting after interviews. The need for system integration was also confirmed.

‍

Christelle Bouhy, Head of Talent Acquisition and CHRSO Solutions, looks back positively on the Business Next Step programme: “One of the most valuable things about the BNS programme is that we were able to pin down our problems more concretely.”

‍

“Through the programme, we were able to uncover the real bottlenecks in the recruitment process together. One of them turned out to be the double entry of candidate data because of poor system integration. Another was the disproportionate time recruiters spent on reporting instead of CV selection.”

‍

The programme delivered a concrete roadmap that AG Insurance has since started working on actively.

‍

Het BNS traject hielp ons een helder beeld te schetsen van de pijnpunten en gaf ons ook concrete handvaten om mee aan de slag te gaan.
